Avoid the Overwhelm in Business

Being an ambitious business owner is hard.  You have all the big ideas and no time to implement them!  You know what you want to happen but get caught up in the daily grind of it all.  The idea of hiring staff or delegating to them is scary.

But what if it didn’t have to be like that?  What if you could avoid the overwhelm?



As Tony Robbins says “You get what you focus on, so focus on what you want”.

With so many ideas rolling around in your head, how do you pick just one?  How do you avoid the overwhelm of it all?

Setting aside some time to write down all your ideas and visions is invaluable.  Putting them all on paper will allow you to get them out of the swirling vortex inside your head and into some semblance of order.

Now, of all the ideas, which ONE excites you the most?  Remember, we can’t be truly focused on more than one thing so just pick ONE.


What next?

Now that you’ve decided on which idea you want to focus on, it’s time to set some goals. 

First, I encourage you to break down your overall goal into smaller, more manageable goals.

If you’ve never set S.M.A.R.T goals then this blog will help you.  Setting these goals will help to keep you focused on what you want.

Then for each goal, break it down into bite-sized chunks or individual tasks, including one thing you can do today.  This is a great way to avoid the overwhelm and feel like you are making instant progress!

Prioritising and scheduling

I know…these can seem like dirty words to some!

Do you feel like everything is a priority and most of it gets left until the last minute? 

Do you feel the pressure of deadlines looming over you?

Do you always intend to get to those important tasks but get sidetracked by something else?

There’s a reason Stephen Covey talked about prioritising and scheduling in “7 Habits of Highly Effective People” – it works!

We all only have 168 hours a week and if we don’t plan how we will use them, we aren’t likely to be effective with them.

Covey talks about using the following matrix:



Not Urgent


Quadrant 1 – Fighting Fires

Urgent and Important

Crises, urgent issues, deadlines, last-minute changes, unscheduled work

Quadrant 2 – Quality Time

Not Urgent and Important

 Goal-setting, relationship building, researching, planning, putting systems in place

Not Important

Quadrant 3 – Distractions

Urgent and Not Important

Some phone calls/texts/emails/ some social media, some meetings, interruptions

Quadrant 4 – Time Wasting

Not Urgent and Not Important

 Some phone calls/texts/emails/mail, some social media, chatting, TV


The idea is to do the following:

Quadrant 1 – DO – you can’t avoid these things and they need to be handled immediately.

Quadrant 2 – PLAN/SCHEDULE – these things don’t happen unless you schedule them in so make them a priority and you may find you have less Quadrant 1 activities moving forward.

Quadrant 3 – DELEGATE – wherever possible, get someone else to do them.

Quadrant 4 – ELIMINATE – get rid of the time-wasting activities that don’t serve you or schedule in time specifically to do those things.


Working in Quadrant 2 as much as possible will help you avoid overwhelm.  It will allow you to take back control of your business and achieve those goals you set.  You will create efficiency and use your time more effectively which will ultimately allow you that work/life balance you so desperately crave.  You may even find you become a better leader too!

Include those non-work related activities (health, family, friendships, spirituality etc) into your scheduling to ensure you are leading a balanced life.  You’ll be surprised at how much you can fit into those 168 hours when you make time for the important things!


Doing this alone may again seem overwhelming.
